Any service or business communicating with the public needs the following research tools to be working for them

Social Media Marketing (SMM)

Search Engine Optimisation ( SEO) tools.

You need to be using the language the audiences use to find you.

Service jargon or high-brow English won’t work.

These tools show you the language used by the general public when they search for products, services and ideas online. It is very circular; the search engines identify the use of language and terms used by the public when they search for something.

If you have not made this change in your communication you are rapidly becoming redundant.

An article on the front of the Port Philip Leader Community Newspaper says it all. And explains why!

Charities Crumbling

‘Our community is ageing and that means we are losing a generation of strong benefactors,” Mr Rosengarten said. He said JewishCare had changed its marketing strategy for the first time in the hope of attracting more donations and bequests. We are going to tell people about the positive than the negatives and how we have created value,” Mr Rosengarten said.

This read like a text book version of what is happening to community services while the online world has changed so dramatically in the last couple of years. The online changes have demanded a rapid response from nonprofits and charities along with all other business types.

The cost of losing a generation of strong benefactors.

While your marketing that worked on the older generation only is being used, you are not communicating with the potential newer and often younger communities.

The article shows Mr Rosengarten has acknowledged it is not a normal attrition that is occurring. Something in addition to this has occurred, where no new benefactors have emerged as per all previous decades using the same marketing strategies.

If you are not communicating with new audiences suing the new technologies and paradigms, you simply won’t get their attention. Nor will you get donations. Attrition is natural, while this higher level of attrition where a sector of teh audience is no longer reachable using the old methods is a disaster.

Attrition with older sponsors dying off from death or changing who they support is inevitable. Not using the modern tools of communication used by audiences today is a death knoll for the service provider. The old marketing practice must be changed.

While traditional marketing practices that worked once for one population is still being used today, they will fail today. This is what is being witnessed with real long standing service disappearing. Many nonprotits fail each year. What si new is that the longstanding established ones are at risk while newer ones up to speed with technology will survive.

The changes are rapid for services who have relied upon traditional marketing practices for 50 years.

Technology has created a great divide. Those who embrace it will do well, and those that do not will become obsolete

If the Public is one of your target audiences you need SEO | SMM today.

Does your service have a target audience outside a closed group of service providers? If you are working with -or providing information for, or information about services to individuals you are working with the public as an audience.

A relationship with the public is vital for donations, as well as promoting services and targeted service use. Those relying upon donations will know they are failing without SEO | SMM. Some will not be able to articulate why. But they appear to have more of an idea what SEO |SMM are about than those with no current measure of their relatively poor performance.

While thousands of dollars are being spent on community website updates, the real reason for the changes need is not being comprehended. It is not strictly a lack of funds, but an ideological and educational crisis. Non profits ARE a business, and the research tools of media are about much more than Facebook and Twitter.

Why- because you are not working with real audiences without SEO | SMM tools. You cannot communicate with the modern audience in ways that they demand. Your message will not be palatable using traditional marketing practices and platforms.

It is the older established service providers with targeted funding that will be the last to feel the consequences of failing to keep up to speed online. Charities and non profits who rely upon donations will have felt the impact of failing to master online media and communications changes now. They will have been making the changes required or face extinction. Donations are the measure of how accurate and effective they have been in using these affordable tools.

Many others do not understand what the new media and social research tools can do, or are needed for. They have no realistic measure of performance in place. Even government funded- or some would say- particularly government funded organisations will not be funded ongoing if they perform comparatively poorly. They need to be effective and efficient. Without these tools they will fail comparatively.

Non profits | Charities are a business.

Any organisation who fails to comprehend this will fail in todays climate. Even those not reliant upon donations, but receiving funds from government for targeted service provision. There will be a time lapse for those services but the effect will be the same.  If you are not performing effectively and efficiently you will not be funded.

Business have had to make the changes online or fade away. The nonprofit | charity sector is no exception. The established service sector is most at risk of not comprehending how far behind they are and the risks associated with this.

The research tools used within Social Media Marketing are for improved performance. Money is only one measure of improved performance with greater revenue. Social Media Marketing is not only for greater income. These tools are vital to service provision or any media or online media promotions today.

Social media creates a 2 way relationship with your audience. You cannot provide a good service | core business without this compared to those using these tools effectively with communication from their audiences about that they want.

Social media tools are used to make a better match between what you provide and what people want.  You are not missing vital service information without them. You cannot provide what people want unless you ask them, or measure what is effective.  Even services with targeted funding for the government will fail to perform comparatively.  New services or services with a donations model will out perform them and be vying for government funding. Audiences will shun traditional marketing- as well as it not being effective. It is dated.

Those using SEO | SMM will have superior evaluation of performance that will be superior to compete for funding from established providers.

Learning from the mistakes of the past.

New marketing tools have challenged many traditional marketing ideas and practices.

Traditional marketing targeted 18 to 49 year olds!

How limiting was that? How dated are the assumptions?

Every survey you look at shows growing numbers of females on all social media platforms- the computer and technology generally being presented as a male domain. Many users fall outside the traditional 18-49 marketing demographic advertisers traditionally targeted as the main market.

The age reach of many of these technologies extends way beyond 49 years-of-age as a cut off point. Young children are online a decade before they reach 18 years of age. Marketers are having to rethink their own assumptions about different demographics.

Are you getting a feel for how redundant your practices are if you are not using online research tools available today?

How many out of date assumptions do you hold about your audience?

  • Write a list of characteristics about your audience you communicate with now- online with emails or website, newsletters by post, promotions events.
  • Write a list of characteristics about who uses your service | product now. Does this match those you are communicating with? Who is missing?
  • Write a list of characteristics about who would potentially uses your service | product.
  • Write a list of characteristics about who would potentially support your service | product. Does this include corporate sponsorship, donations, volunteers, service to service and | or service to business support?

Online research tools give reliable feedback to anyone monitoring audience trend. The over 50s are probably employed, large numbers still have children at home. Not all woman buy weight loss products and anti wrinkle cream. Not all men spend income on sex aids, late night chat lines and hair regrowth.

Particular audiences are associated with particular issues and product use. I attended an art auction fundraiser for Greenpeace after their Smith Street premises had been gutted with fire. A visitor was surprised that young unassuming people in casual dress, some more ‘feral’ and never having worn a suit in their lives had significant amounts of money to buy artworks- for a cause.

His assumptions were twofold.

  • That people who don’t wear a suit or look conventional do not earning good incomes.
  • That young people had money to spend on art | an environmental cause.

Your more contemporary person with audeince behaviour would know that

  • Young people have disposable income.
  • Many young people are socially active over a whole range of causes.
  • Wearing a suit is no longer an real indicator of financial clout.

For the younger audience memebers they were probably surprised to find

  • Crusty old guys that wear suits can afford to  or would consider buying art for an environmental causes.
  • Old people in suits support environmental causes

The devil is in the detail.

While we all know that even retired 50 year olds spend money. And how many of us are retired at 50? Or if we are retired at 50 years of age we have a disposable income for things other than health insurance, funeral cover and retirement villages near a golf course. The over 50′s comprise a huge online audience today.

And my 8 year-old niece edits clay animations on the home computer. As a professional film maker I can’t help but be impressed how well versed she is in all commands an

On line marketing tools give reliable feedback to anyone monitoring audiences. The over 50s are probably employed, large numbers still have children at home. Not all woman buy weight loss products and anti wrinkle cream. Not all men spend income on sex aids, late night chat lines and hair regrowth.

What they do buy, or do online and off is relevant to communicating with them. Does the audience you work with really read hard-copy newsletters or bin them? Do you get any feedback from hard-copy mail outs? Probably not.

New media gives you accurate feedback about that they read.

Today’s online marketers uses sophisticated 2 way communication with audiences.

It generates real-time feedback about who your audience really comprises. You are no longer reliant upon guesswork and assumptions  about who you are communicating with. We have moved from the limited assumptions of old school expensive and piecemeal research about particular demographics that were often misinformed, or gross exaggerations.

You will also find new audiences using these research tools across new platforms. Because that is where audiences are today. That much you do know.

While these research tools are used for marketing- to make money, they do this by improving performance. Money is just one measure of the effectiveness of research tools used for marketing. This is the measure of performance for profit making enterprises. Tailored service provision for service providers will be the result if that is your goal with these research tools.

These research tools are for ALL services, business or online activity today. This includes the non profit sector with objective other than making money only. Many other positive performance results are achieved with the same research tools.

Learning who your audience is really made up of is invaluable.

It helps provide services more effectively and efficiently. You can plan with predictive accuracy.

The details collected using new marketing tools has challenged many traditional marketing ideas and practices.

You can learn so much more about your audiences today. The smaller audience segments, missing audiences and potential audiences. You can measure and evaluate what action IS and what IS NOT getting the audience you need.

Are you using the affordable online marketing tools available to understand your audience today?

This is about getting results- while money is one measure of performance. These tools are not just for businesses, but for the service industry including non profits and Charities. These are evaluation tools EVERYONE needs. What ever your mission statement- to change live or make an income, you need SEO and SMM tools to understand who your audience really comprises of.

Remember, that you need to measure performance before you can evaluate performance.

Real time feedback from online research

Advertisers and service providers have to recognize their audience is made up of complex individuals who don’t sit neatly into many of the old-school marketing audiences.  We are complex beings with a range of interests, needs and spending habits. Women buy sex aids, hair products, online games and high adventure holiday packages. Men eat out and buy lots of gadgets for their bikes and other DIY habits.

Social media and evaluation tools online have created a clearer and more detailed picture of audiences. These tools do more than provide greater audience reach with wider promotions using Facebook and Twitter. They will improve results- getting the right match between the audience you want and better targeted results. A wider audience reach with new media will not improve performance unless you use the research tools that inform you about your ACTUAL audience.

You should be able to communicate effectively with the audience you want. They allow evaluation, monitoring and improved performance with predictive value.

This avoids wasted resources such as time and money.

How to find the right audience.

Traditional marketing misconceptions still loom widely. This includes any service and | or businesses who has not evaluated who their real audience is.

The tools you need to do this are available and widely used by smart operators today.

You need to add Google Analytics to your website. Any self respecting web developer would have included these. You need to use these to build up a picture of who you are really communicating with.

To understand how to use these go to Google Analytics.

It is only then you can find

  • Where your audiences come from. Example- Google Search | yahoo etc
  • Who is missing from your audience.
  • What your current audiences read and show interest in on your website or other promotions used today

Only then can you improve your performance. Move in the right direction.

Every survey you look at shows growing numbers on all social media platforms are female- many falling outside the traditional 18-49 marketing demographic advertisers have targeted within traditional marketing. The age reach of many of these technologies extends way beyond 49 years-of-age as a cut off point. Young children are online – a decade before they reach 18 years of age. Marketers are having to rethink their own assumptions about different demographics.

The online audience is a new audience | market. So any traditional marketing ideas do not apply. There was no online community. While everything is new and changing rapidly, real time marketing results are even more crucial.

Angelina Jolie

Old marketing preconceptions have been true to reality. TV content pitched at the 18-25 year old gets an 18 – 25 year old audience. It was  self fulfiling prophecy rather than fact.

Social media is giving greater feedback about the inconsistencies about long held assumptions of how people act in different market segments.  We will see intelligent woman as action heroes or detectives in media today. The audiences have demanded this. Provide an alternative and there is often an alternative market.

It is an indicator of what audiences really wanted all along, but old fashioned marketing were closed to this. They were expensive and unsophisticated in comparison to social  media marketing tools built into a sustainable website today.

Angelina Jolie didn’t emerge as an action hero without large audience demand. She was plotted and emerged because marketing agents within the commercial film industry responded to an audience demand.

The commercial film industry tend to go where the market dollars are with a guaranteed audience. They want a  return on their investment. NGO’s and non profits may not be chasing the dollar as directly as the profit sector. But the need to perform effectively and efficiently, as they are competing for community donations or government funding. There will be a greater delay between poor performance and income reduction.

If the service next to yours is using social media marketing well, they will perform better on every front, including providing evaluation and performance data that shows more effective and efficient performance. They will get the tender or targeted funding for services provided- because the do it better.

Understanding your audience.

Tools to do this include Google analytics. Check how may assumptions you have made about your audience. If your promotions have not moved online and involve more than email outs to your subscribing audiences you are not communicating on the same platforms.

Would you email your English speaking audience in Swahili? You are in effect doing this by failing to communicate with audiences the way they access media and communications today. The strike rate for new audiences to engage with you will be severely limited.

Because Flash graphics are slow to upload!

  • Flash graphics are a deterrent in effect. Many users will bypass the flash graphics rather than wait for it to download.
  • Flash graphics reduce your audience reach. Those with slower download will not wait. They are a lost audience.
  • Flash graphics actively excludes people with older or cheap technology, especially for those users with slow Internet connections.
  • The domestic audience online has grown. And they don’t all have high end computers with fast download time at home. The exception would be families or individuals with setups for gaming | broadband TV who are set up for Flash graphics. Again this is a subsection of the potential audience only.
  • Assume basic resources and technology as sub group of all potential users. Flash graphics don’t offer any functional value to the website or the audience while they actively lock many audiences out from your site. So why would you do this?
  • Functionally and in SEO terms Flash graphics are a waste of time and money. Google and other search engines can’t read or make sense of colour, pictures or music. Text counts- so use it.
  • For the community sector who have an obligation to be inclusive, they must ensure access far all by making user friendly websites for audiences using older technology and other modifications. This precludes the use of Flash graphics within the government and community sector. They have a mandate not to exclude audiences because of their limited access with basic technologies such as limited online capabilities.

What is a ‘user friendly’ website?

One that is is easy for ALL customers | audience to find and to use.  It needs the following

  • Content Management Systems with easy to access access information within the website.
  • Easy to find online by as many potential users. You need effective keyword use and Search Engine Optimisation.
  • Relevant and content rich information. You must give something to your audience they want or need. If they search for you online for ‘dog catchers’- they want to find this information, not pharmaceutics or gambling information. Ensure you are not giving them false leads with poor use of search words and tags. This is described as cloaking or sneaky redirects, frowned upon by Google search search engines and algorithms.
  • The website needs to be designed for functional use over visual design priorities.
  • Audiences with low-end to high-end technologies | download capabilities can access your information.
  • You can be found on the variety of search engines and browsers. See Google article on assuring your website appears correctly in different browsers.

How to make a website user friendly

  • Good SEO skills. Understanding technology and search terms and how they look for you to reach the widest audience possible.
  • Don’t dismiss or lose any audience segment with technical mismatches, including slow to load graphics.
  • Content Management Systems (CMS) within website for when audiences arrives.
  • Design content for widest possible audience access.

There are a number of compliance standards to ensure access maximum access with technology.

See Web Accessibility Initiative at http://www.w3.org/WAI/  You can have a website that is rate according to accessibility. An excellent service  for business or community. Use theior http://jigsaw.w3.org/css-validator/ to check your website is compatible across all browsers.

Buying or building a website that works for you now

…and into the future.

A premium package may look like an easy solution, but it can also be an expensive white elephant if you don’t know what you are doing.

white elephant is an idiom for a valuable but burdensome possession of which its owner cannot dispose and whose cost (particularly cost of upkeep) is out of proportion to its usefulness or worth. From Wikipedia, the free encyclopedia.

This is the best description of a website built without the correct research and information I can give you.

The upkeep and training costs of a premium package need to be factored in- before you buy.

You can avoid this by understanding what a Premium website is. It is a website pulled together by a provider for you and placed live up on the WWW. They provider houses it, and controls it. They vary widely so one task you need to do is

find out what are you getting within your package deal?

  • What are you getting within your package deal?- Hosting | SEO pack| Google analytic | revisions | training
  • Will it function in the way you need it to?
  • Will you be able to take your website somewhere else if you are not happy with a premium provider?
  •  Will you lose all your work if you shift providers? You may outgrow the premium package.
  • Will you have to dismantle the website as they feel they own the theme?
  • Can you maintain the costs of someone doing your back end maintenance?
  • Have you costed the training into your calculation.

I have seen community group after community group pay, small business providers and start-ups spend about $1000 for a website- as a package deal or premium set up. It goes up live for them and all seems  good.

They are then left stranded if they do not have the funds to get training from the Premium provider if this has not been costed in.

They cannot customise it without extra funds as they are not allowed to alter the back end themselves,

If they have no budget for training they are unable to use their new website. They have over invested in the website without factoring in the real and ongoing costs. A website is never ‘finished’. It is a live and ongoing concern.

A website is not a static platform that is ever finished. It needs to grow with you. And who can predict the future needs with accuracy now?

What does your Premium package include?
  • Find out if hosting is included in the package fee before you purchase hosting. It is often mandatory you use theirs.
  • Find out before you purchase a domain name. If you register as an Australian business with an ABN you will need to use an Australian Domain registering service. Do not automatically buy anything- particularly hosting or premium packages from the Australian domain service until you find out what else is available- online  internationally. They are often small and have not been around a long time. They will possibly not offer a comparable service for the fees paid.
  • You do not need to buy hosting from an Australian Domain registration service.
  • It is easy to link to other hosting with a premium package or straight hosting elsewhere. Do not believe it will be easier to go with a small Australian domain service that has moved into hosting. Check out large established hosting services first and compare what you get for your money. I recommend larger established hosting services.
  • Check and compare the help desk facilities. A large hosting service will provide 24/7 telephone help desk support as well as live chat and less flexible options offered by smaller domain and hosting services.
  • You are trusting the hosting service with providing safe hosting of your website. If they are fly-by-night and go out of business or go offline due to technical error you want to be sure they have proper back up.
  • A large established hosting service has the legal skills to protect you in case of an unwarranted or even legitimate complaint. They will not close your site down to protect themselves. They are less likely to get caught up as arbiter of a dispute between two businesses.

What are you missing by purchasing a premium package.

  • You are unable to advertise on some of these. Check this carefully if you plan to monetise.
  • You are unable to update the back end and must pay their employees to do this for you.
  • You cannot customise to the same degree in many premium packages.
  • You cannot leave all providers without losing your website. The vendor claims some level of ownership. How and why this is possible is beyond me while you pay for the updates etc but they can claim they own the theme you are using that was developed by them. Many Premium packages are developed around a new theme developed and sell you the use of.
  • Fees are involved in training unless this is stated as being part of the premium package. Ongoing training needs will not be calculated so assess your ongoing training needs.
  • Check what help-desk facilities they provide  - live chat or a real person at the end of the phone. What contact hours?

FIND OUT if you can leave and take your website in whole to another provider if you are not happy with your premium package and or the providers. You will possibly outgrow them. Some are surviving on predatory practices. Once they have their fee you have little to negotiate with. Work Smart- find out the facts and avoid being left with a website you cannot afford to run.

What you can get from a premium package.
  • Someone will put up a functioning website for you.
  • They will do all your back end maintenance- for a fee.
  • They provides security of data.
  • They will do all the back end maintenance and updates for a fee.
Note what is missing. TRAINING. Many people have purchased premium packages and do not know how to use them, nor the funds to learn from the provider. If you have more than one person needing to run the website with volunteers, change of staff or volunteers this can become a prohibitive expense.
You may be better off setting up with an open source platform like WordPress.org that is widely used and maintain the back end your self. You can then pay piecemeal for web developers, and learn to management many of the functions yourself if you are not happy with a premium package.
For the  same cost of $1000 you will get a basic website up and running using a major hosting service with loads of free online training and resources.

If you do select to use WordPress.com which is a premium package they will let you take your website elsewhere with no vendor lock in over ownership etc.

If you are going to purchase a premium package use WordPress.com Premium package. It will cost you to have the back-end managed as you will not be able to do this yourself as with many premium packages. You will be locked into monthly fees to have it managed above the cost of hosting service costs.

WordPress.com will at least be  be compatible with WordPress.org for further development using paid contract workers or yourself. YOU will OWN your website- not someone else with WordPress.com but it is still a premium package with limited ability to customise yourself without fees attached to maintenance work.

Building an affordable website without purchasing a Premium package.

For start ups in particular WordPress.org is a good place to start. It is owned by you, and you can purchase any setup and back-end skills with the same money spent on a Premium package.

  • You will own your own website. No vendor dependence or fees.
  • You can DYO or DIY with little or no cost.
  • Much of the training is available free online if you use a well established hosting service.
  • Competitive prices for skilled WordPress expertise including back-end upgrades, customisation, optimisation, growth etc.
  • Free and widely used software
  • Large number of skilled WordPress experts to purchase by the hour or task for back-end and front-end needs.

If you set up following the recommendations for sustainable website development, you can build a better website for the same money that will grow with you. This  is a guide to avoiding many of the common and expensive pitfalls to new web developers.

There have been some massive changes online.

This demands you change.  There has been a change of technology, search engines, marketing practices and audiences expectations and behavior online.

It is not only to get one page one with Google?  Google ranking is important but not the main reason. A high Google ranking may not translate to the results you want from your website or organisation.

It is not to achieve greater audience reach using social media? Facebook, Linkedin and Twitter are invaluable for greater audience reach, but again this is only part of the need to update.

This change has been demanded

because…

Audience behaviour has dicatetd these online changes. They trust organic websites and promotions to buy product from as opposed to advertised sites.  This is good for the folk without a big advertising budget.

This has changed the face of online activity.

because..

The bar has been raised with affordable research tools built into a sustainable website.

Without these you are doomed for failure. An updated website provides research tools fundamental to running a business or service, for marketing and any online activity. The website should sit at the core of your service| business. It is no longer an add-on but provides invaluable data for running an effective business or service. You cannot function competitively or effectively without social media research tools.

The 7 real Real Reasons for needing to upgrade your website.

  • The research tools embedded in a website offer the equivalent of a market research team for your organisation. Social Media Marketing (SMM) and Search Engine Optimisation (SEO) and other research tools used effectively will give marked improvements in performance, feedback and evaluation. Without these tools your website is redundant!
  • These research tools are affordable. There is no reasons for not having and using them. There are many costs associated with not having these research tools working for you.
  • You cannot function online without these research tools including Search Engine Optimization (SEO), Google analytic, search words. SMM | SEO provides a feedback loop that previously required a dedicated marketing team. You can achieve accurate feedback on your actual audience reach, rather than perceived reach. These tools will assist you with accurate targeting of your desired audience. You can achieve predictive accuracy about audiences | clients or customers with a website built to be sustainable.
  • The bar has been raised. You are at such a competitive disadvantage without these you will not remain viable.
  • The research tools built into a sustainable web will assist your core business as well as your online performance. A sustainable web performs wider than distributing information and | or promotions and marketing functions. It works at the core of an organisation now.  The changes apply to the service sector without marketing | sales to meet performance standards.
  • You need these research tools to run an online or offline business. These are valuable research and evaluation tools that are affordable. You cannot compete for community funding or online business dollars without these research tools.
  • Evaluation of performance using these tools is almost mandatory to show effective and efficient performance to retain funding. Without them you cannot perform at the same level with a 2-way conversation with your audience. Funding bodies will expect this level of accountability with excellent measurement and evaluation of performance. Without them you cannot perform to this standard, nor evaluate your performance .
  • You need SEO/ SMM and other research tools provide accurate feedback and valuable research. How audiences search for your service, what your actual audience wants and other valuable consumer information will be at your fingertips. You need this to remain visible. These tools are used for pitching content to audiences. Are you giving them what they need and want. This applies to community service. Established services may not see this link with performance and funding being less closely linked but this relationship is still there. New savvy services will take your clients as they will perform better, particularly with performance and evaluation. They will be able to prove superior performance to gain funding.
  • Government funding will always follow better performers.
  • A sustainable website is designed to capture income online. If it is not setup for this it cannot perform in this way. This income is different to increased volume of people using your core business | service. It includes new online income. You can move to a more sustainable position with passive online income from affiliates and other sources. The public and government expect a move into a more sustainable direction from the community sector rather than repeat funding ongoing. Community funding with donations is a competitive domain.

What an update will give you.

  • The affordable research tools available online provide the equivalent of a marketing team.
  • A non profit or charity organisation is as small business.
  • The needs of any organisation for online web development are the same. One may have profit making as their objective while a non-profit has other objective, but the same online tools are required to perform effectively.
  • Non profit objectives cannot be met without the online research tools needed for all profit businesses.
  • All organisations need these web tools to measure and improve upon performance.

Social media is not about Facebook or greater audience reach and Google ranking. It is about a 2-way conversation with your audience so you know what they want, who your are communicating with and who you are missing.
  • Accurate targeting of audiences, segmentation and selective promotions are possible for ALL organisations. These tools are not expensive. Proactive management with predictive planning, improved performance and evaluation will be demanded of all services as base line service performance outcomes. The bar has been raised with affordable technology available today.
  • A sustainable website is designed to capture income online. If it is not setup for this it cannot perform in this way. This income is different to increased volume of people using your core business | service. It includes now online income.

You now need SMM| SEO research tools to remain viable today. These tools are affordable and offer significant improvements  in performance that put those without them at a significant disadvantage. The nonprofit sector is no exception. Without a sustainable web at the core of your service | business the disadvantages are insurmountable.

A website without these basic research functions built into it is redundant. It is not sustainable.

The 10 costly mistakes you can avoid a with sustainable web.

  1. Large upfront fees for a web that cannot change as your grow. Affordable incremental growth.
  2. A dud website that does not give you all the research tools you need to be effective online today.
  3. Building a web you cannot advertise on.
  4. Building a web you cannot monetise or sell on.
  5. Being locked into a vendor contract. Reliance of another business remaining for your online business
  6. Unable to move your website from one hosting service to another. You may outgrow the vendor like a premium package. Note some hosting services particularly premium ones will not allow you to take the website whole and move to another host. You will have lost all that work.
  7. Missing audiences. User friendly web with maximum number of users able to load your website fast with older technology.
  8. Finding no online training information with a less well used hosting service. A big well established hosting service like Hostgator will provide helpdesk phone service 24/7.
  9. Building a website using a large established hosting service means loads of free online training information. Don’t miss out on the free training and tutorials because you didn’t read why you select one hosting service over another.
  10. Don’t automatically sign up with hosting where you get your domain name from without reading about how to select a good hosting service. You must use an Australian domain name provider with Australian ABN-but you do not have to buy your hosting from them.
  11. Do not get the wrong business registration because you have not bothered to check what you are eligible to register as. Speak to your accountant and read the guide to building a website.

Avoid the most common mistakes with a Web Marketing Plan.

A Web Marketing Plan clarifies what you need your website to do.

This will give you clear direction about where to next.  Implement this now for the next few weeks, then again for the next few months once you have your website working for you.

It is only after developing a clear Marketing Plan then you can build a website with clear direction for the user

Web Marketing Plan SMART Goals— remember goals need to be

  • Simple.
  • Measureable.
  • Achievable.
  • Results driven.
  • Testable.

1.     Simple. What do you need your website to do?

  • Name three things your organisation needs the website to do.
  • What marketing goals will help achieve organizational goals? These will relate to productivity and promotions generally.

Examples:

    • Organizational goal; Increase service use and revenue with paid fee for service and memberships.
    • Marketing goals:
      • Gain wider and targeted audience reach.
      • Convert more audiences to paying memberships
      • Convert more audience members to paying service users.

2.     Measurable.

Part One- start measuring results now. Develop measurement tools now if you do not have these in place.

  • Identify three to five concrete, specific and measurable website results.

Examples: Search Engine Optimisation (SEO) tools should be able to measure;

  • Numbers of readers from blog | newsletter | facebook following | linked in | twitter|
  • Number of incoming inquiries.
  • Know where inquiries are coming from with percentage breakdown.
  • Baseline number of referrals from where. Do customers come from online search or word of mouth.
  • What parts and pages of website are read?
  • Who purchases membership or attends a paid class? After what online activity?

Develop SEO tools to start measuring your performance now. Your website must work as a research tool for your overall organization, central to the core business. If you have not got basic tool for measuring performances in place you cannot direct change as required and improve your results. See blog What are Search Engine Optimization SEO tools?

Part Two—Ongoing use of Measuring tools

  • Evaluation Decide what measurements are indicators of good results for your organisation. You need to know:
  • What is working best so your organisation can do more of it?
  • What targets are engaged and which segments do you need to engage differently?
  • Who is missing from your audience?
  • Potential audiences?
  • What content is most compelling to your data base?
  • What messaging generates action and what fails to motivate?
  • Examples:
    • Incoming inquiries. Do they come online or by phone?
    • Analyse change in volume of incoming inquiries from each source (website, word of mouth, event, website referral sources).
    • Website usage analytics: “What are the most visited pages on your site”
    • “What keywords are users searching on to get to your site?”
    • Response rate to any media campaigns.
    • Audience research. Check keyword use by audiences is accurate.

3. Achievable

  • What results do you need to get to survive? Do you really want to grow service use with the same infrastructure? Can you manage or afford the extra demand you create?
  • You can assess the situation in several ways.
    • Comparative analysis: Before and after changes implemented. Will extra memberships relate to extra work you can afford to meet? Will you get additional targeted funding to meet the demand you create? Is your donations funding increasing at the same pace as the service demands increase?
    • Marketing audit: What current marketing work is succeeding, and what needs to change and how?
    • Audience research: What does your audience think about the information you provide online? Does it meet their needs or is it all they can get? Would they pay for targeted and relevant information that met their needs?
    • How can you extend your services to meet wider needs. How can you pay for this?

4.     Results Driven.

Evaluation of results and move towards achieving the results you want. Examples:

  • Target audience Who do you want to engage with? Why? Is this the same audience you currently engage with now? What do you want from them? To sign up for membership? Or attend a fee paying class?
  • Segments: Be clear which groups are eligible for services only. Why engage all parents when you only want single parents for your program.
  • Call to action. Be clear what you want your target audiences to do. You need to be clear about this and the website to clearly lead to this action. This is described as the call to action or ‘conversion’ to a paid up membership, class or other action (donate, volunteer).
  • Financial outcomes. You will need targets and results to measure performance. Dollars earned is a basic measured result.
  • Evaluation is how you achieved this, what worked and what did not when you applied different practices. Fine tuning what is working and what is not is possible with SEO tools from your website when you measure and evaluate performance and outcomes. You gain the benefits of a marketing team with SEO tools.

 6.     TEST

  • What is your audience really asking for? Have you provided this? Use 2 way communications to fine tune what you provide and what they want. Improving this match will result in greater service use. Use feedback from interactive blogs, surveys, word searches, page visits within website etc. Improved performance results will indicate this also.
  • Conversion rates with sales | membership etc will also improve if this is working.
  • Are you clearly asking them to take the action you want?
  • Have you gained the right audience who will want to take action as well as read your content?

The best ways to achieve your marketing goals.

  • Draw up a clear profile of the audience you want. Seek them out.
  • Understand your audience. Develop 2 way communications such as blogs with feedback over e-mail mail outs. Review your audience reach , ideal audience and potential audiences you are not getting.
  • Build links
  • Develop, understand and use your SEO tools
  • Word search. Make sure you are using the correct language of the audiences you feel are interested in your service.
  • Review and develop your copywriting. Make sure you are using the right language that both audiences and search engines understand.
  • Give your target audience CLEAR actions you want them to take. Many websites fail to direct audiences to take the action they want.

Your marketing Plan will direct What you need to do NOW. Develop SEO tools? Change all copy to include search words the audience use and search engines can find. Assessment of current audience?  Check your call to action to see if this is clear and on every page possible?

Your Marketing Plan will direct What resources you need? Example; To purchase SEO tools and have them embedded in your website?

Remember SMART Marketing plan goals are

  • Simple.
  • Measureable
  • Achievable
  • Results driven
  • Test

Conducting this Marketing Plan is an audit over what your website is supposed to be doing. The marketing plan is a fundamental step toward achieving a desired outcome.

A generalist can conduct the marketing plan with a manager or CEO. The manager will understand the role of the website and the research features  availbale to the organisation as a whole if it is build with proper evaluation tools.

But- you need SEO specialist to review, set up and direct your website once you know WHAT oyu wnat it to do. Unless you get an SEO specialist to set you up and monitor your performance you are wasting your time.

This is the most common error with community websites today. They do not use web specialists with SEO | SMM skills, assuming a generalist can fiddle with limited skills and knowledge and drive great website results. It is not a lack of funds but a cultural problem. The manager who studied literature cannot write media copy for the web unless they have trained in this. They do not have any understanding of the website as  media platform. It is not public data storage  that may extend to a whats on page.

Business Registration is the first one.

Every Australian registered website with dot.com.au needs an Australian Business Number (ABN).

You may know this. But do you understand the following common errors.

  • Registering without understanding what KIND of business registration is available to you.
  • Not being informed about the advantages and limitations of each registration you can potentially register as.
  • Understanding the taxation implications- and advantages of each registration.
  • Register as a sole operator when they could have registered as an artist with additional benefits.
  • Understanding what you can potentially register as an Artist or sole operator? Register as  Nonprofit or Registered Arts Organisation with DGR- Deductible Gift Recipients where donations are tax deductible for donors.
  • Failing to understand if they wish to sell anything online. If you do not build a website with this in mind you can end up with a website you cannot monetise, advertise on sell product on. Check any Premium product carefully.
  • Non profits are a business. Know your business.
  • Do not understand Nonprofits | charites are a small business. The can make money and need to. Nonprofits are not excluded from making an income. The money belongs to a community of people and not an individual. Income is generated for a purpose other than making a profit for an individual or group of individuals. Some nonprofits make large incomes. They also assist lots of people, provide expensive research or massive material and food aid programs..

How to Avoid 9 Costly Mistakes.

WordPress.org is offered as part of sustainable web development to circumvent these issues rearing their head at some point in the future.

  1. Domain name- get one with dot.com.au and dot.com at the same time when you first register a domain name.
  2. DO NOT get hosting service with same place you get domain name from. Read about how to select a hosting service and see why. You need a large international hosting service with free online training with WordPress setup. Read also Opensource articles re WordPress and free online training BEFORE you buy hosting.
  3. You DO NOT have to purchase hosting at the same place you get your domain name. It is simple to use a different hosting service and set up with them. Do not assume this is expedient or more convenient. It won’t be.
  4. If you plan to make some income online- one day- maybe? Read about premium websites that do not allow advertising | monetisation.
  5. Understanding the business category you are in? Understand the difference between hardware and software for taxation benefits and
  6. Understand the potential categories you may be eligible for, the advantages and disadvantages of each?
  7. Understand how will it effect operations online and offline? Nonprofits will be restricted in business activity.
  8. Understand how your registration will affect long term plans?
  9. If you want to won your won business a nonprofit is NOT a good solution. You have limited control over it and it is owned by a community of people. All assets must be given to another nonprofit to avoid any individual benefiting form its existence now or in the future. A management committee governs the organisation and you must comply with a raft of governance requirements.

Are you Registered as a Business | Artist | Sole operator | Nonprofit.

Without understanding the tax structure you cannot make informed planning decisions.  Note you are possibly a start-up or new business with tax concessions to assist you. Your accountant will know what your are eligible for under this with running at a loss over specified periods of time. You won’t get cash up front but many of your costs will be able to be claimed against minimal income from your start-up.

Even if it is a casual pursuit at this point- just getting a blog up, think long term. Think business registration and web start-up. Read the sustainable development kit. It explains what websites will not allow monetisation-particularly if you set up with a premium package. Don’t restrict development with poor start up knowledge and lock yourself out of many opportunities or needs such as a website where you can advertise, and sell affiliates because you didn’t plan.

Does your subject matter and content constitute an arts endeavor? Writing is an art. Given profit is not your primary aim you could be eligible to setup as an artist. This does not preclude you from generating an income – at any point – as an artist. Bloggers can be artists. Artists can be bloggers.

The more you know the more pleasantly surprised you will be if you have not operated as a business or registered properly as a practicing artist previously. Entrepeneural activities and start-ups are supported by government with tax incentives. Find out about it- before you register for an Australian Business Name (ABN).

Read the blog on Artists and ABN.

Bloggers- you may be able to register as an artist. You may invite unwanted scrutiny if you decide to swap to this later, if you are able. Seek your accountants advice if you think you may be eligible to register as an artist. Ask about upgrading if you are registered already as a sole operator and not an artist.

I go to my tax agent and state what I want, rather than ask their permission. Perhaps if you go to your accountant and state you wish to be registered as an artist.

Read blogs on Nonprofits- including Charitable | NGO and Community | Community Arts Organisations.

Read Start-ups as New Business unless you are clear on what you are registered as and the tax implications and opportunities. For many you will be updating your webs or building a new one on the back of an established organisation. You have less flexibility and options at this start-up phase of others.

Speak to your accountant.

You can’t avoid it. You are a business once you are up online. Why not gain the benefits.

It will cost you up to $300 per hour for an accountants advice. Email questions and a phone call may be less expensive. You regular accountant may add this into your end of year tax bill. Tax advice is a business cost that can be claimed against your income. Even a PAYG income earner planning a start-up can seek this professional advice within their tax return costs.

For arts information speak to a specialist arts accountant. A generalist will give you general information. They have their own business objectives around keeping you as a customer.

Get confirmation from your accountant about what you are elgible for as  business | artist | sole operator | start-up | nonprofit with tax concessions, assets like computer hardware, interest paid on credit cards to purchase hardware etc.

What income targets must you reach as a start-up business to gain tax deductions like depreciation? Ask about running at a loss when you purchase assets? Think about the time of year you will purchase a computer so it is close to when you get a tax return with depreciation for example.

Discuss the specifics with your accountant- before you start. Artists can ostensibly purchase all online promotions work including web set-up from PAYG income tax. They can pay for ongoing marketing rather than do it themselves. Do not think of yourself as impoverished- but seek out proper information about what you are eligible for.

Speak with your accountant about registering as an artist after the fact. This may draw attention to you by the Australian Tax Department so it is advisable to do this first rather than change later.

Have a proper understanding of income you have by undersanding if you can use PAYG income tax as an artist.

What computer hardware is depreciated and the relationship this has upon what you spend? Are you eligible for a free new computer as a nonprofit organisation? What additional income can you make that is still considered nonprofit income? This is relevant to affiliate products you may list.

What you are eligible for a a start-up- new business, including depreciation of computer hardware, interest paid on items bought on credit like computer hardware. You may decide to purchase hardware at end of the financial year knowing you will get 30% depreciation with next tax return only months away. This will affect costs and money spent at that time. Understand income targets required, losses over more than one year where you earnings can be less than income etc.

Arts Specialists.

See Lowenstein and Sharp Accountants as one specialist arts accounting firm.

See also Australian Arts Business Foundation (AbAF) for specialist artists and arts organisations referral and advice. They provide regular arts and taxation seminars, often for free.

DO NOT REGISTER A DOMAIN NAME | HOSTING SERVICE  without reading the How to Build a Sustainable Website. You need to decide a few things way before doing this.

  • Decide if you will use WordPress.com or WordPress.org. They are very different and you need to know the difference before purchasing  a domain name. My website is for WordPress.org. See comparison of both on blog to understand the major difference between the two. You cannot monetarise WordPress.com or place advertising on it. You cannot make changes yourself but pay them to alter the back end. You are signed up with a vendor to keep your website running.
  • Do not automatically purchase your hosting with your domain provider. You must use an Australian domain provider while you need to select a web hosting service for a variety of reasons discussed AFTER you have decided upon a premium package or not. You need a hosting service that is widely used so free training and set up material is available for you to use. See also blog on Opensourse product to understand why this is SO important.
  • Do you know what a premium package is? See article??? They provide the web hosting themselves. You only nee one web host.
  • Will you purchase a premium package? They provide a hosting service and sometimes the domain name too. It is generally a precondition you pay for their hosting service within the package.
  • Read about what features you need from your hosting service as  listed

Do you think Patrick Blanc is registered as an artist?

NOTE writers are artists too.

If you are running a blog with an artistic or creative purpose, as well as promotions of your own work then you could classify as an artist.

Particularly if you have pure arts training. Blogging is less likely to be purely commercial. They work in the softer area where followers | audiences | readers follow them because they like their work. Some don’t put any affiliate product or advertising on their site.  They are more interested in building an audience, and audiences don’t like advertisements. Audience aversion to advertisements includes websites and blogs with advertising all over them.

A blog is often editorial- the personal opinion of the writer as opposed to a commercial blog. Many blogs contain the personal reflections upon life or a topic rather than a straight commercial objective to make money. Does you blog classify as an artistic project?

You can still earn affiliate income and possibly advertising once you have a following. You may even risk losing some of your audience, but wish to monetise your website at some point. You will be able to do this as a registered artist, as long as your website is set up as a sustainable website technically for this also. Check information about premium websites, and why WordPress.org is suggested as preferred platform for ongoing needs.

While you are using organic growth methods online you often have an objective other than pure profit. This does not preclude wanting to make some income, your whole income even. Living off your art. That still falls within the parameters of being an artist. It would be a commercial endeavor if you sold other peoples work only. While it retained a critical discussion about art as opposed to secondary arts for investment you would fall into a purely commercial arts practice.

Note the tax department will give you the most stringent advice about what is and what is not an artistic endeavor. There is great latitude and I would take your accountants advice on this.

Think laterally- like an artist.

Many artists will bog about their artistic practice. While income can be made from teaching, supplying suggested specialist product, books etc you are working as an artist. Going online you are exploring new ways of surviving off your art. It is not uncommon for an artist to change how they operate, running seminars about how to do their art, and providing product as audiences want to make the art themselves. Audiences want to know how you do it so they can do it themselves. You have profiled yourself as an expert- in the arts. You may sell less of your own work, whle your income is derived from your expertise as an artist.

See Amberfacepainting. It has moved from her painting faces to a whole series of related functions and events. She would sit artistically as costume, film and theatre body artist rather than a children’s party artist only because she has presented her skills in this way. Opportunities include moving more toward The World Wearabale Arts Festival in New Zealand that sits so well with  Peter Jacksons zombie and other worldly productions made by Weta productions in Wellington New Zealand also. Amber lists practicing face painters by location who would pay a fee or commission for the marketing done for them from her site you would assume.

Do you have some overarching artistsic merit or motive within your website? Selling your own work  is relevant if you are an artist. Remember the arts includes visual arts, performance, music, writing, composing etc. Selling books you write is also an artistic pursuit. The web is your promotions tool for your own creations, even a blog.

Think also arts therapy, cultural heritage practitioners, architecture that can extend to environmental practices within our habitat like the wall gardens. Think Vertical garden Patrick Blanc who may be registered as a landscape gardener, or sculptor or environmental artist. He was trained as a botanist, and listed as such. Where do the arts begin and end. If he had done landscape architecture he would sit more toward the arts. He could have reinvented himself once he moved into decoration rather than functional applications. His primary motive is possibly functional, environmental applications rather than the beautification of cities and buildings.

What is your purpose? What are you building a website to do?

Landscape artist, botanist, or artist?

Environmentalist, architect, botanist or sculptor?

Register as an artist.

There is money to be saved if you set up properly. Registering as an artist, working out your business position as an artists with your accountant or tax agent is the first step- before you start the website.

Read this information BEFORE you get your ABN for your domain registration.

Question one.

Do you have an Australian Business Number-ABN. This is different to a personal Tax Number you provide to an employer. See Australian Tax Office registration ABN

If it is no, you have to register for an ABN from the ATO before you can set up your website. This is for anybody- not just artists. You can register at a web address outside of Australia without an ABN, but not advised.

Why?

Because you need an ABN to register a web domain using an Australian .com.au address. Registration with an ABN serves several purposes;

  • Australian.com.au websites are more trustworthy for customers as you they are registered to a person.
  • Business regulation over online operations for your protection as business to business or consumer to business.
  • You offer greater trust online with a domain name ending in .com.au - particularly in Australia.
For local (Australian ) business  a dot.com.au is preferable. It identifies you as local – not foregin – from Zimbabwe where all the weight loss scams online come from where it is not regualted. Doing business in places like Zimbabwe online is the real frontier of online growth- without regulation there is no trust or security. It is anarchy and audiences need to trust you.
Check if the dot .com name is also available and purchase this also. Both domain addresses can be hooked up to your website.  If you want to extend into the to New Zealand, UK, India or China, seek the matching domain ending. in the US. Your Australian ABN is requested but I am unsure of this is mandatory.
Do you plan to live overseas?

The only reason to consider not listing a dot.com.au URL – domain name would be to if you intend to living abroad. While your online business |artist activities including sales are done from an Australian website you must pay tax in Australia.

If you are overseas you may want a dot.com address. You will not want to pay Australian taxes while you reside elsewhere – working there. If it is registered as a dot.com.au and Australian registered business this will impose restrictions. If you drop your dot.com.au address you will potentially lose that business from dot.com.au unless you plan for this.

Dot.com is a US web address. Do not assume this will be less fraught though I think it is less controlling with online businesses not located in the US at time of set up or afterwards. If you are not a citizen or located in the US this should be OK. The US has a longer reach into their citizens tax income even when they work over seas and pay tax in that country they still make payments to the US. My understanding is no ID is mandated to register a dot.com address.

Tax and online income.

Anybody in Australia who wants to claim costs of depreciation on their computer- hardware will need to register here in Australia. A dot.com address won’t remove the need to comply with taxable income declaration while you reside here within Australia. The relationship of a dot.com address and oversea residencies need to be discussed with an accountant if you plan living internationally.

Don’t go down the track of planning a website with a dot.com address to avoid tax. While you reside in Australia you have to pay ax on income you receive while in Australia. Internet business and transactions are very easy to track if you are investigated. See online SmartComany article by James Thomson re The Australian National Audit Office blunt warnings for entrepreneurs who might be pushing the boundaries of tax laws.

The ANAO’s audit of the Australian Taxation Office’s SME compliance measures was delivered yesterday and found that compliance efforts had picked up $1.266 billion in taxes, penalties and interest from the SME market in 2009-10.

The audit found the ATO uses two main tools for its compliance efforts: the SME Risk Engine and the Risk Differentiation Framework.

The Risk Engine is essentially a giant computer program that “profiles taxpayers against risk rules (indicators of a taxpayer’s non‐compliance with an obligation) and gives a probability score of potential non‐compliance”. The scores feed into a pool of potential compliance cases for the ATO to investigate. Go to   SmartCompany for full article

Are you registered as a practicing artist? Yes | No.

You need to contact the Australian Tax office re registration as an artist, or ask your tax agent | accountant about this.

You need to speak to your accountant regarding your specific situation. This will include income earned, PAYG income etc. They may even register you when you have your tax return done.

You can ask questions within your annual tax return being done with an accountant. They will charge you but this comes from your taxable income, as a cost you incur as part of working | running a business.  The more organised your tax return information the more time you will have to ask questions about what you can claim on in the following year.

Are you an artist?

Can a blogger register as an artist in their own right as a blogger? I mean persons other than a practicing artist who run a blog or website to promote and or sell their art | performance | Music | CD’s?

If you present yourself as an artist and meet the basic requirements re income | intent you can apply as one.

Remember artists include visual artists, performers, musicians, writers, composers etc. Think also arts therapy, cultural heritage practitioners, architecture that can extend to environmental practices within our habitat like the wall gardens.

Artists are given special licence to pursue the arts without the same stringent regulation as a small business. You need to know where you are located between a small business, (Over 20,00per year) and a sole operator. Then learn how the taxation position you sit in as an artist.

A nonprofit can work to earn income while their overarching objective is to make social change, support a cause or group of people who are disadvantaged. An artist has special licence also.

See article re hobby artist and artist at Art Forum

Financial assistance with purchase of computer- hardware.

Note registered artists have greater tax advantages than standard sole operator startup. You are a special category under the sole proprietor category. This does not include arts organisations. See blogg on arts organisations as distinct specialist nonprofit group.

An artist can claim costs against PAYG income.

It is to your advantage to register properly as  an artist and see a specialist arts tax agent. This advantage is huge. You need to be looking at earning over $6,000 per year to be classified as an artist rather than a hobbyist. Your online income can include teaching art, writing about it, making it etc. The costs of setting up your website can be matched against this, even if you come out at a loss. See accountant for details.

There is a ceiling to how much PAYG income you can earn. It was $40,000 per year so the tax office knows you are spending some time doing your art. Check with a tax agent what the current ceiling is before you cannot claim artist costs against PAYG income.

Lowenstein and Sharp are one well known accounting firm who specialise in the arts | artist tax laws. Ask them about your particular situation, including

  • Arts costs set against PAYG income. Note your hardware and then training | having your website done for you as opposed to doing this yourself. You can possibly pay for specialist consultation around marketing or promoting your site now and ongoing.
  • Ceiling to PAYG income as well as arts earnings for tax costs to cover equipment and other costs.

Money.

Before you commence you need to have a financial plan. Even a sole operator | startup with lots of time and no job or money needs this. If you are embarking on a new business venture, or community website for an existing organisation or whatever, you need to understand a few things first.

When you register for an ABN to register a domain name you will need to have this clarified. There is money in it so find out properly. Are you a;

Sole operator – business.

Sole operator -Artist.

If you cannot register as an artist go to the blog- Finances and assistance for start-ups after reading this blog. An artists will straddle arts| start-up if you are new. You are special category or subset of sole operator until you employ someone. You will straddle the two. Nonprofits straddle small business and the nonprofit subset of small business.  Unless you are established where size and business model will determine where you fit.

How you are registered, -as an artist or sole operator or nonprofit will have a direct affect on how you start-up. Different assistance is provided to different groups in many ways. Know this before purchasing anything and work out your real budget accordingly. Do not miss out on the opportunities available to you. Each group has opportunities they can maximize.

See also Australian Business Arts Foundation (AbAF) for artists and arts organisations as one specialist nonprofit group. They provide a wealth of information about staring out as a registered artist, including taxation and other tips you will not get from the ATO or your accountant unless they are an arts specialist. They also provide information about developing partnerships with corporate business. You are open to a whole range of assistance as an artist with larger community developments as you grow. Do not lose these opportunities by failing to register correctly now. Think big.

Don’t be intimidated if you just want your artwork on a website for visitors to view your work and have no grand plans. The advantages offered to artist is helpful even for this. Why you would not register as an artists? If it is that fear of -the man- the tax man, get over it. You are not opening yourself up to greater scrutiny than previously.

Going to the accountant can feel like going to confession, with a realistic appraisal of how you have gone financially. Remember a good accountant also provides counsel too. They can inform you with financial advice as a practicing artist like what receipts to collect, depreciation of your computer hardware.  You never know- you may be able to make a living off your art, but you need to know how.

Potentially you can use your PAYG income tax to pay for an online social media marketing expert to artwork. You can paint while your costs are matched against your PAYG and arts income tax return.

Money for Start-ups and Nonprofits.

For many groups or individuals there is no money. DIY is the only option. Having a discussion with an accountant can be done as part of your end of year tax return.

As an artist you may be able to claim web development costs  against your PAYG income. You may be able to pay for optimization and promotions to be done by someone as you go. It may only be $300 for a consult and work done each year from an SEO specialist. Or passing marketing to them for a fixed sum, or percentage of returns from sales. You will need the money up front or be billed for this within one financial tax year and claim this cost in the next year to pay this. You can also claim interest on your credit card for outlays such as this.

For those who cannot and DIY is the option, you will learn a second set of skills. DIY is a great way to learn about your own website. If the web developer will not be around ongoing- with staff or volunteer changes as employees or volunteers, the information in this WordPress start-up kit is valuable for ongoing training needs. I inform you of a multitude of specific training modules-free from Youtube and other sources.

What not to do.

Do not go ahead and purchase Hosting Services with your domain hosting without reading A Guide to Developing a Sustainable Website.

  • Do not automatically set up hosting with the domain provider assuming this will save you time or money.
  • You do not have to use the hosting service where you set up your domain name.
  • Smaller hosting services are setting up on the back of Australian’s needing to set up dot.com.au within Australia.
  • Larger hosting services are better for any DIY, startup or persons | services | busineesses who will have ongoing training needs.
  • You need to decide if you will use a premium package BEFORE you purchase hosting services. See blog Premium sites- the pros’s and cons.

I recommend strongly you DO NOT use a small hosting service attached to a web domain service provider.

Know what you are selecting a web hosting service before you buy. Read blog Smart selection of a hosting service.

I have based A Guide to Developing a Sustainable Website. around the use of Hostgator as one of the large established hosting services.  This directs you how to set up using Hostgator web hosting services. A lot of the specific information given to guide you is related to this hosting service. You will need to do all your own online searches for compatible material for other hosting services. With a small Australian one there will not be the same volume of free online training material on Youtube and other places.

Alternatively select another big hosting service where enough people have gone before you and there are lots of free You Tube videos to assist you. This is one of may things you are buying with a well established hosting service. Again , go to Smart selection of a hosting service and read the  A Guide to Developing a Sustainable Website before you buy. Ask for your money back if you have purchased this already.

Nonprofits can earn income to cover costs. Shift the load from the web volunteers or sole manager. A fundraiser can make the web work better- faster. If there are financial imperatives with loss of income while website not working I suggest a fundraiser. A simple one to implement is a Cinema Nova Screening where they profit share with your community group and it is not uncommon to come away with $1,000. If you have funds for piecemeal purchase of skill sets your web will be developed better, faster. See other recommendations for fundraisers ????

Factor in the income you are not earning if you plan to make online income from your website, or improve core business income. What is it costing you not having your web working for you sooner rather than later? How much time has the volunteer got? What skills are they starting with? Who needs to know what information to run the website?

Small business | sole operators

Assistance for small business startups not in the nonprofit sector. See blogg at website. ASustainable web.com.au

Artists are a particular category of this, separate to standard small business. This does not include arts organization, who are a subset within the non-profit sector if registered as such, or a small business if a commercial operation. Unless you are an artist who sells other peoples work as well as your artwork. While your primary role is to sell your own work, you can include others within this.

How can one person perform all the SEO |SMM roles and functions?

They can’t. If they do it will be a basic or perfunctory job. Media teams for large organisation employ different workers that specialise within each role. Once you understand what they do you can gain an understanding of the basics, and how to extend you SEO | SMM skills and knowledge- learned or purchased.

As a sole operator or manager you need to be well versed in all facets of social media to perform these functions or employ someone to do them for you. Learn the basics and pay for advanced specialist skills as you grow.

Purchasing technical skills with specific needs  is your job- not a web developers, or the Copywriters job.

The web developer will build what you ask them for. They may make recommendations but it is not their skill area or job to know what you need your website to do within your organization | business.

Be clear on the roles you need persons to perform within your website.

Think of your website like the work car. The web needs servicing and updating by an expert unless you know how to do it all yourself. If you are working solely on the web you are not working on the business | service. Decide when you will purchase expertise as opposed to doing it all yourself. Using WordPress there are many skilled experts to call on, and they are competitively priced. You can purchase skills and training piecemeal.

If you are developing an online buisness, the more you do yourself, the better as you will need these online skills.

You would use a mechanic for the car engine. Use a developer for the web. This is unless your business is in ‘online skills’ which is what you are selling.

Or making an income from marketing online-with a shop front etc in which case you need these skills. You can purchase advanced skills and  training as you progress, but your business is online marketing of products at this point.

For the community sector providing an information platform- you can purchase SEO | copy writing and SMM skills. Failing to grasp these are online media skills rather than generic skills where listing upcoming events for an unknown audience like a data entry job will not suffice.  Would you use a community worker or environmental scientist to design your car, spray paint it, test its efficiency and performance levels? No. Because an employee has comprehensive knowledge of a topic or service does not translate to online media  promotions and marketing skills.

Use a spay painter for the paint job. A Copywriter is for design features, including easy of finding the right information on your website.

SEO for working the car to its maximum performance potential. They will test,  evaluate, test and re-evaluate your website performance. They will tinker and update things in the back-end (engine) with performance enhancements as needed. They will retest and re-evaluate, honing in on better performance results. They give clear detailed direction and guidance on where to go. They will help maximise you performance  given the limitations of the environmental and your equipment. SEO expertise will make sure you are visible and seen by the right people.

SMM |online marketing tools and skills is for improved sales. Your credibility and visibility should be enhanced. They will ensure you are seen in the right places by the right people, more often with better performance results. Good car performance with results that are seen is as relevant to the community sector as any other, particularly if they get payment for performance.

Know what you are asking for from an expert by understanding what is needed. We all know horror stories about asking to have the car fixed! Asking for a service or the wheels balance directs what you want done- rather than open slather right for the expert to decide what you can need and can afford. You are handing over a lot of trust and money without itemising what you expect in return.

Web developers.

They build the website for particular functions. They work within what is called the ‘skin’. You can only build so far within a domestic ‘skin’ before you need an upgrade to a more industrial ‘skin’. A domestic car won’t pull the hay maker while it lacks the grunt to do so. You will need to update to a tractor at that point. You computer will need more rams as you grow, storage space and an engine to cope with this additional load to remain fast.

So the web developer will build an online engine with the right speed, power and storage capacity. It will have room for new fittings added and some basics tools fitted for you. Google SEO-all-in-one package may be put into the website by a developer. Basic plug-ins can be included with the web development. Be clear what you are getting in your ‘package deal’ from the web developer. Check how ‘finished’ your website will be.

A trained Copywriter | SEO worker can add plug-ins like Google SEO all in one. What is included within a basic build and what is a customised website needs to be discussed between yourself and the web developer within making a contract.  A copywriter | SEO specialist tend to work on additional features such as plug-ins and widgets. This maximises their option to use the plugin they want while some are standard such as Google analytic, Google Adwords, SEO-all-in-one for example.

Throughout this web I promote the use of WordPress – an Opensource product widely used by many folk online. WordPress Web developers are competitively priced and you are not locked into vendor contracts where you must pay for updates at their fee rate only. You are not dependent upon a vendor remaining in business to keep your website alive.

If you plan on moving to a premium package read the blog- Premium packages – the pros and cons.

This website promotes the start-up using WordPress.org to circumvent many mistakes made at the developmental stage. You will avoid having to redo your your website to meet all future needs. This is an affordable way to do it and avoid costly mistakes.

Copywriter

Design of pages that includes the appearance of the website | pages | landing pages. They also cover content- as per media language where copy is the term for written content| articles for publication.

  • SEO| SMM set up and updating skills.
  • CSS language and HTML language skills to customize pages. Also the web links and set up of information over the whole of the website- or the the functional aspects and layout so users can find information. This includes making sure your ‘call to action’ is clear, linked on all pages from your blog to the website.

You can pay for these skills piece meal – set up | review or lean them yourself.

You can pay for a review| evaluation of any work done and advanced skills by a copywriter while developing these skills yourself. If you are a sole proprietor or running the website ongoing you need to know this information inside-out to be effective, with the exception of highly technical design changes that can be purchased. You may chose to outsource this piecemeal as required. Unless you are prepared to learn a computer language- CSS and HTML. Even this has varying degrees of basic and advanced skills.

Working with copywriter for particular technical skills requiring CSS | advanced HTML can save time. You can ask to be trained in basic functions and purchase skills for advanced skills required for complex tasks. These skills are applied to web page and other content such as blog, twitter and Facebook.

SEO- Google analytics and social media -marketing | promotions.

These tools determine what your website will do for you. They can do the following;

  • Inform you about your actual audience. A two way relationship with your audience is the most valuable function you get. You can now work with the equivalent of a dedicated marketing team. This is the big revolution. This is now available to anyone  with these affordable tools.
  • You can evaluate accurately who you are actually reaching.  We all know the value of actual rather than projected income| audience reach| paid up class attendance. It is real. Note hopeful or speculative where hopes and delusions may colour our math calculations.
  • While you can evaluate accurately your results you can make changes accordingly.  The capacity for rapid change s possible also, with re-evaluation of the changes made. On and on- till you closer approximate the results you want. The capacity for targeted accuracy has not been possible without the funds for a dedicated marketing team on board.
  • Are you clear about who is receiving what information on your website? Any audience segmentation according to the information sent, or does the audience have to sift through this? If they can be bothered.
  • What does your audiences actually read. What information does your audience act upon?
  • Where do they they go within your website?
  • You can evaluation what audiences actually want. Services can use this to apply for funding. Commercial operations know this is a market opportunity with greater demand than supply that is an unmet demand. For services they feel they have a fair idea about unmet demand. These tools will give them a more factual account of unmet demand from web users as one audience group. They require evaluation tools to show this to to apply for additional funding. This same information is vital to any organisation | funding body| or commercial activity.
  • Targeted audience reach. This will happen with SEO tools used well. So will targeted audience communication be possible. This is what the service industry will need to perform in or lag behind, becoming obsolete. Pitching to the right audience for the desired results is cost effective, saving a lot of time and resources being wasted.
  • What audience members take up your ‘call for action’ and buy, donate or take out a membership.
  • Your website will be ‘Optimise’ for Google and other search functions so you can be found online. This is more than Google just ranking which is a common misconception.  It will result in instant results with wider audience reach as you will be speaking the language of people looking for you.
  • With SEO and SMM tools you will get sophisticated feedback about how your content| communications are performing. It will measure if audiences are performing in ways you want, like attend your free funded conference. It will show how and when do you lose your audience online so you an pinpoint changes required.
  • Research re word use within your communications (copy). You can evaluate search language used to find you by potential and current audiences.
  • The web becomes your research tool for language used by audiences and potential audiences. This will direct changes required.
  • SEO and copywriter together will optimise your website |results with synchronised copy (writing) across email | blogg | web pages | Linkedin | twitter | Facebook.
  • You can research your competitors and great performers online to emulate their practices. Comparison with external providers and evaluation can occur, widening your skills and knowledge base.

There is always cross-over with Copywriting | marketing-so Copy-writing and SEO can be done by one very experienced person. How advanced the skills you require are matched against their performance, income generation or other benefits they provide. copywriter and SEO worker.

A big organisation with the facility to pay for advanced skills in each area will do so. The skills covered are vaste when honed to a fine degree. The likeihood of an employee having the array of skills in all area is so limited, thus my continued recommendation to use experts piecemeal as you go for revue and evaluation how you are performing and absorbing these skills as you learn online.

These skills are applied to web page and other content. This is directly related to how you perform online. This includes audience evaluation and feedback, and what your web visitors do. Do they follow your call to action- like attend a seminar, an activity, buy a product. You need to be clear what you want to your audience to do. What you want your website to do?

If you want to track actual audiences who read your information as opposed to receiving it, you will know what they want, need or like. This is the function of SEO tools. This is the part no organisation | service or online business can do without. Regardless of you objectives- to generate income, to fill classes or get donations.

SEO skills needed to run your core service | business.

SEO skills are the research skills that will cross-over to performance in core business as well as web performance. This is the 2-way relationship between audience | new audiences and you. They provide sophisticated data to evaluate online and offline performance, improve performance, and inform all other business | service areas.

These tools are vital for evaluation and performance in every facet of | your service | business. Without using these tools effectively you cannot perform at industry standard in the nonprofit |community or any other sector. In the commercial sector anyone seeking to make income will fail without them- online and overall. You are at such a competitive disadvantage without what is basic and affordable technology. Without these in your website it is redundant.

Targeted audience reach.

This will happen with SEO tools used well. So will targeted audience communication be possible. This is what the service industry will need to perform in or lag behind, becoming obsolete.

 Google page ranking.

These are the tools to ensure you remain visible online. They assist with improving the match between people looking for you, their language used in searches, and what you provide for them that they bother to read.

Being ranked top on Google does not mean your website is doing what you want. You still may not see more memberships paid up.

Getting your website to do what you want| need it to do.

The ‘call to action’, or measuring of audience response rate is part of the SEO functions. If you have audiences reading your e-mail | blog but not joining your membership base or attending a class you are not getting the results you want | need. The combined copywriter and SEO expert skills are required here.

Advertising

SEO with tools like Google ads and sophisticate research tools like market Samurai will perform statistical analysis of the online  world and work out your advertising potential.

Paid advertising needs to be evalauted against returns gaiend from this. The results can include

  • Better Google ranking,
  • Greater audience reach,
  • links
  • Sales.
  • Affiliate sale

Getting an expert to set this up with accurate results and customisation for your content is worth paying for.  This will be a job to be done after all the other SEO functions up and running. Use a Google registered expert only as they have proven record of performance to gain this qualification. They have to complete an examination every year to remain current and registered.

A Google add campaign with $150 worth of free advertising at the website launch ( costs about $275) is a good way to assess and evaluate if your language use is targeted and accurate.

SMM- Social media marketing.

Note you need online marketing skills as opposed to traditional marketing practices. This includes advanced use of social media like Twitter, Linkedin and Facebook- the three big ones. They will understand online marketing opportunities particular to the web. This is the big shift and revolution between online and off marketing. This is what service providers have to contend with. There has been a revolution online. If they do not keep up to speed they have redundant beliefs and ideas.

Marketing requires a clear understanding of Linked in | Facebook | Twitter that are managed for targeted results. These are the skills for

  • Branding.
  • Promotions.
  • Audience growth.
  • Conversions to purchase of product, use of service, making a donation.
  • High end performers will get targeted results with greater income | results.

The more time| money | training spent on this the greater the results, but only if done on the back of the basics – great service product, reliable performance and delivery. Your website and all communciation must reflect this for a marketing person to achieve results. They will often start with developing basics in all other areas- copywriting and SEO functions.

Marketing in used for selling ‘brand’, goods and services. An online  marketing specialist will increase targeted audience reach and help you perform better overall with a grater match between what you provide and what is needed. They will hone in on what people want, and will pay for. Marketing is about getting better financial returns for your efforts. hey have good evaluation tools that cross over into the  SEO functions as well as others.

They will often work with the three big social media tools- Linkedin, Facebook and twitter with measurable performance results. hey can be bought in to get the extra 10% from practices used well- finessing everything or work as a very basic level implementing basic practices to improve results.

In the service industry where the web is used as a media platform giving out information they will help you ‘sell’ your organisation as a credible ‘brand’ or trustworthy source. Organisations requiring donations and other public funding can use this to improve performance with increased funding and donations. The cost of employing a marketing person will be measured against the results they achieve.

Learning the basics as sole proprietor helps but dedicated spending (time or money) for results needs specialist skills- learned or purchased.

The online world is as big and vast as deep space. Without SEO your website is going-out there- lost in the black spaces between the stars – and someone may find it. The likelihood is unlikely, arbitrary and severely limited if you seek a like-minded audience who may be interested in reading your information. Google and other search engines |functions will provide you with like-minded audience |traffic only if your website is optimized for this.

Performance measures and evaluation.

If there is no relationship between putting your website up and its performance you have to question why you need a website.

Some bloggers seem happy just to get their message out- with no stated desire to know who is reading it.

Many community organisations have worked at this level. They have a very sketchy idea about who receives their e-mails. They have no idea what is read by whom. They have not invested in a proper evaluation of this.  They do not have a 2-way relationship with their audience. It is self evident what they are missing once you understand what these affordable research tools provide.

No service or business can afford to miss the benefits of targeted campaigns. Nor audience segmentation with mail outs. You are relying upon the audience to sift through all the information for what is relevant to them. You need to evaluate what is being read by whom, and what outcome the various communications achieve. Promotions or nuisance mail.

Community groups not using these sophisticated research tools affordable to them no longer meet basic service providers performance standards. You cannot perform well without accurate evaluation and acting with intent. You cannot even evaluate your current performance. Funding bodies will expect these evaluation tools as basic performance criteria for effective evaluation. Many are asking for this now. Sustainable growth is a prerequisite for funding in the local government funding sector now.

When to buy online skills verse learning them yourself.

While you can purchase skilled WordPress expertise as you go, it is worth weighing up the cost of time spent learning the skills and paying someone to do this for you. Set-up time is intensive initially. It is an ongoing requirement as you develop and learn what new things you need the website to do. A working website needs to be tweeked, and changed as per requirements ongoing of you are using it effectively. It is never finished. The largest amount of time is in the set up, and training how to use these tools effectively or there is little point having them.

Remember- you are gaining valuable hands on training as well as building a website. Look at what it would cost you to train in these skill. Then add the financial advantages of having a great website working for you verse performance and income lost with comparatively poor performance.

Have you factored in your ongoing training needs?

Ask yourself, will the set up be done by the same person that will be running the website? Often it is not.

What will your ongoing training needs be? A volunteer may set-up while a manager runs the community arts organisation, with changing managers. The new managers will need training. A sole operator may plan to employ someone to run the website- an SEO | SMM expert.

Remember- if you are a manager | sole operator you still need to know how the web research tools work in the wider business, and what they can provide. You need to understand this for evaluation of the core business, the web performance, and for evaluation of your employees running the website.

See blog on Premium websites- the pro’s and cons. Paying for slight and recurrent alterations will be expensive over the long term if you have opted for a premium package.

While few individual workers will be able to fill all the roles required, you need to know when to outsource for specific skills. This will be an ongoing need. You need to decide according  to your budget which way to proceed.
